Williams College Employee Handbook
Tuition Reimbursement Program
Employees in regular or term, fully benefited positions, who have completed six months of service, are eligible for tuition reimbursement. Williams will reimburse an employee who has successfully completed a job-related course with a grade of B or better at Williams or another accredited college or university at 100% of the tuition cost only. Job-related is defined as (1) an educational program providing training that supports or expands their knowledge of their current position; or (2) a program to provide improved skills in areas of job responsibility that are developing to meet changing demands. One course per semester is the limit.
Course work should be completed at a time that does not interfere with regular work hours. Where this is not possible, time away must be approved in advance by the supervisor or department head. The costs of registration, books, student activity charges, labs or other miscellaneous fees are not included for reimbursement.
Employees are required to submit a written request to their department head prior to enrolling in the course. The request should include a description of the course, and an explanation of how the course relates to the specific responsibilities of the job. The request should then be forwarded by the department head with a supporting statement to the Benefits Administrator in the Office of Human Resources for review.
Approvals are on a competitive basis and subject to the availability of funding for the fiscal year. If the request is approved the employee may enroll in the course and following successful completion submit proof of tuition payment along with a transcript of the course to the Benefits Administrator for reimbursement.
NOTE: Tuition reimbursement for job-related undergraduate courses are not considered a taxable fringe benefit at this time.
